§00 · Digital services · Central Indiana

Everything your company knows, in one record your staff can ask.

We collect the spreadsheets, documents and email your business runs on, merge them into a record you own, and give each employee a chat window that answers from it and shows where each answer came from.

For owner-run businesses in and around Indianapolis. We do the work in person.

Who has the 3-ton condenser coil in stock right now, and what's our cost?

Midstate Supply has it at their Lafayette warehouse. Our cost is $1,184 net, with a two-day lead time. Order through the dealer portal.

T.K. · service, week two

Can we warranty a cracked heat exchanger on a 2009 furnace?

Nothing in the record fits this question. The closest entry is the general warranty steps (row 38), which don't cover units that old. Ask Dana before you quote the customer.

§01

The problem we work on

In most owner-run companies, the answers that matter are spread across a few spreadsheets, years of email, and the memory of the people who have been there longest. New hires interrupt those people all day. Customers wait while someone digs through an inbox.

When a long-time employee retires, part of what they knew goes with them. Meanwhile, more customers now ask an AI tool before they call anyone, and those tools can only mention a business whose answers they can find and read.

§02

Is this a fit?

This isn't for every business. It pays off when your company runs on knowledge that is specific to you: the details a general AI tool can't know and a new hire can't look up.

  • You have your own body of knowledge

Part numbers, pricing rules, vendor terms, procedures, warranty exceptions. If the answers your team needs live in your files and in the heads of your long-time staff, the system has something real to work from.

  • Your products or services take explaining

If customers have to learn before they buy, or new staff need months before they can answer on their own, the record shortens that learning curve for both.

  • If your work is simple to explain and the answers rarely change, you probably don't need this. We'll say so on the first call.

Where it pays off

  1. + Revenue

    More sales closed

Staff answer customers sooner and with the right figures, so fewer quotes stall while someone hunts for a number.

  2. − Loss

    Fewer costly mistakes

Outdated prices, missed exceptions and knowledge that leaves with a retiring employee all cost money. Every answer comes from a checked entry, with its source shown.

  3. + Productivity

    More hours back

Your experienced people stop fielding the same questions all day, and new hires are productive sooner.

Exclusive

One company per industry, per region

Once you work with us, we won't take on a competitor of yours in Central Indiana while we're working together. We will never serve two HVAC contractors in Central Indiana at the same time, for example. Your industry and area are written into the agreement.

§03

What we set up

There are nine parts. Most businesses start with the first three and add the rest as they need them.

  1. 01

    A private knowledge system

We gather the spreadsheets, documents and email your business runs on and merge them into one record that you own.

  2. 02

    Ask in plain language

Each staff member gets a login to a chat window that answers only from your record and shows the entry it used.

  3. 03

    Update it by telling it

Staff report a change and where they learned it. A named approver signs off before everyone sees it.

  4. 04

Faster training, and knowledge that stays

New hires can ask from their first week. What your specialists know stays with the company when they leave.

  5. 05

    Get found in AI search

Approved knowledge, with customer details removed, becomes public answers that ChatGPT, Google AI, Perplexity and Claude can read and cite.

  6. 06

An MCP server for your public knowledge

Your published answers become a tool that AI assistants can call directly.

  7. 07

    Fewer repeat emails

Common questions get answered on your website. For the rest, the system drafts a reply that a person checks and sends.

  8. 08

    Websites handled

Hosting moves, rebuilds, redesigns and routine updates.

  9. 09

    Managed, with numbers

Monitoring, daily backups, an uptime target and restore commitments in writing. It runs on hardware you own or in the cloud.

§04

How an engagement runs

  1. 01 · First

    Paid discovery

We visit, look at how your team finds answers today, collect the sources, and write up what we found and what a first build would cover.

  2. 02 · About nine weeks

    First build

We merge the sources, settle conflicts with you, set up logins and approvers, and train your staff. The timeline depends mostly on how many sources there are and what shape they are in.

  3. 03 · Ongoing

    Monthly managed service

We run and monitor the system, back it up, fix problems, and keep improving the record and your public answers. You can export everything at any time.

§05

What it won't do

You should know the limits before the first call.

  • 1The assistant only knows what is in your record. If an entry is wrong, the answer will be wrong, which is why every answer shows its source.
  • 2AI can misread an entry. Anything that goes to a customer is checked and sent by a person.
  • 3Showing up in AI search takes months, and nobody can promise that a particular tool will quote you.
  • 4We do not publish prices yet. Discovery is quoted after the first call, once we know how many sources you have.
